Most Events Now Active
Most events are now active in the system, and the initial event schedule will be released to attendees shortly. Event registration will open on May 15.
That means you have a little over a week to double-check and make sure that all of your event details are correct before attendees can buy tickets to your events and then things are pretty much locked down, so take the time to double-check everything one more time. Not all events are active - events that came in after the March 14 deadline are still pending, as are events for Wednesday before the convention officially begins. Some other events are still pending due to a problem confirming space or another special request, or because it was resubmitted with a correction and we haven't had a chance to review it again yet.
Speaking of space, most events do not have a confirmed location yet. We have verified that we will have space for everything, but have not been able to finalize everything yet, so do not worry if your event does not have a location at this point. Those will be coming soon.
Finally, if you have any additional events you want to squeeze in, please get those details in ASAP. We will process late events once we are done finalizing locations. As always, we will continue to accept late events as we have the space to accommodate them and the time to review them, but the earlier, the better, of course.
Requesting GM Badges
All pending GM badge requests should be processed or addressed at this point. If you requested GM badges but have not received a reply, please [email protected]. GM badges are assigned like any other badge type, so once you have your allocation, you can go to Get a Badge and assign GM badges to whomever needs them. Instructions can be found on the Host page.
Reminder: if anyone needs a badge (such as to build a wishllist and prepare for event registration on May 15) before they have been assigned a GM badge, they can simply buy a normal attendee badge and request a refund once they receive their GM badge.
GM Housing
The GM hotel request form is now available for 2016, so if you need a hotel room in the GM block you can not fill that out to request one. Details on how to qualify for a room in the block and minimum thresholds for complimentary rooms can be found in the Event Host Policy.
Inventory in the GM block is extremely limited and priority is given to complimentary rooms, so it should only be viewed as a backup for groups that otherwise unable to secure a hotel room, not a primary method of getting accommodations for the convention. You cannot pick your rooms in the GM block, though you can make requests on the form when submitting it. If a specific location or price is important to you, do not request a room in the GM housing block.
Only the event organizer for a group can request rooms. All guest information is required and must be accurate: Gen Con is not responsible for any costs or penalties incurred for incorrect or incomplete guest details.
Individual GMs or anyone else seeking reimbursement for an existing reservation they intend to keep must do after the convention but submitting a copy of the hotel bill (with their name printed on it by the hotel) to Gen Con along with confirmation of their events. I submitted a comp room request for my group on the first day such requests were accepted, but we haven't heard anything back yet. When can we expect to get the news?
Hotels aren't allocated based on first-come, first-served, but I'll be finalizing them with Q-Rooms this week, so notifications should be going out soon, I would expect.
This is the usual timeline - if people are concerned that they got them earlier last year, remember the show itself was also earlier.
