Well, that part is easy. Say first year is ten people, and five choose to return. Set aside five 'placeholders' and sell five tickets. If you have more gms and want more players, then fifteen, or whatever. The five returning players each bring generic tickets.
The game is held. Real tickets are collected from the new players, and generic tickets from the returning players.
If all ten want to return though, you'd have to talk to Derek to figure it out, but so long as new folks are always coming in, the event can be listed, as long as generics are collected from the returning players. Since space would appear smaller you'd also likely have to talk to Derek to explain why a bigger spot is needed.
This works for any game...If your best bud really really really wants to be in your game, and you want to gm six players, just have five slots up for grabs. He just still has to fork over generics(and of course have a badge) since the basic fee of $2 per hour goes to support paying for the space, tickets, admininistrative and all that.

In theory that works. The problem is that even 'committed' players will no-show on you. The amount of advance warning you get will vary. So setting aside for example five of ten slots may result in six people in your game.

I'm not saying it's not worth trying, I'm just pointing it out as a thing to be aware of.

I also think you need to make sure the public buying tickets knows this about the game. If I'm buying a ticket for an event that has five tickets available, I definitely want to know that it's actually a 10 player game.

One thing we plan to do next year will be integrating the Living Campaign and the Event.  Between Gen Con 2016 to Gen Con 2017 we will releasing more traditional 4-6 player 1 GM, 4 hour table top, with player created characters "adventures" for Hunter, Mage, Vampire and Werewolf.  These adventures will be directly tied to the Event that happens at Gen Con this year and span the world not just Madison.

So the plan would be Thursday and Friday are us running many 4 to 6 player Modules 4 hours each.  Like all of this it depends on interest but we would want to bring in GMs that are interested in running Modules.  We would release a few modules for each game between Cons and release a few at the Con.

On Saturday we would run this game 1 year after the events of the 2016 game.  If we have allot of interest in the game going into Dec 2016 (when I start drafting my Gen Con submitting) I would possibly expand to 6 to 8 GMs.  And of course just like this year we will have players that are assistants to the GMs (assistant GMs) that have worked with us since the beginning helping us craft the game and more then likely a personally crafted character that will help me drive the role play and story.  They wont have GM "powers" but they have a deeper understanding of the Meta game and what role they play in the story.  Currently have a few that have contacted us after reading here and on TMC and others are friends that want to get involved.

Then again there is always the problem with over expanding, in the end we can always keep the same format.  Just like this year I will be still working with people that cant get a ticket because I know no shows will happen.  If a player cant get a ticket then we can have them as a back up and wish list our game.  We can get a good idea of no show likelihood based on people that contact us ahead of time to get or make a character, even one or two of these people are likely to no show at 40 players.

We also might not need to even worry about selling out like many table tops games do.  10 Hours 10 players event for $10 will likely stop some of the impulse buy and convey a need to read the long description through. Maybe even check out the Dev Blogs before buying a ticket.  I can say we already have people contacting us without being able to buy tickets yet so Im guessing we have some interest possibly enough to get 40 out of 60k to play in our game, but unless this game teaches me otherwise I am not to concerned with getting my players a ticket for next years game if we keep the same format.   I do expect a full 40 players at Gen Con this year and  next if we keep the same format but I don't expect us to sell out day or even week 1 of event registration.  We are the game that will sell out closer to Gen Con as players decided to make the commitment and we get closer to selling out.  Most oWoD games are booked solid at Gen Con so we can get possible pickups and walkups on event day since we will be are actually doing advertising for our game and its already starting to pay off.

Speaking of which we have our 2nd dev blog published (OP updated):

I played in his Vampire game last year.  It was amazing.  I can't wait to sign up for this again.  The amount of work, preparation and detail was outstanding.

Well if you want froz as your GM you will need to sign up for the mage game.  I will be running the vamp game.  You may remember me as the Giovanni you called on the phone, who accidentally the underworld and left you for dead.  Muha ha ha ha ha ah ah ah ah!

Small update. Our Event is still being processed due to some special requests. I have touched base with Gen Con and it is likely that the event will not be processed until after tickets go on sale. I will update this post when we get placed.

I'm a little confused, so please, bear with me.
Just to be clear, what happens if someone contacts you to go ahead with a character idea, but then doesn't get a ticket to the events? There is the possibility that I contact you for a character I'm interested in, but then the tickets for the sessions are sold out, and there aren't any no-shows.

Also, what time do you think the sessions would start (to have in mind while creating my wish list)?
Thanks!

What happens if someone contacts you to go ahead with a character idea, but then doesn't get a ticket to the events?

Now that we wont be available until after May 15th, we will not be involved in the great ticket rush of 2016.  This means that it is very unlikely that we will sell out quickly once our tickets do go on-sale.  This will give a major advantage to the players that have touched base with us ahead of time since they will know the day I am told they go on sale, while the General Public will not see the game unless they stumble on it while looking over events after the normal on-sale date.

Currently we have around a dozen or so people that I know really want to be in the game and will be at Gen Con this year. They are spread out between all 4 games so we are not likely to sell out any one game right away, considering the amount of people we already have contacting us. However if we do sell out before a player can get a ticket for the game and they have contact us ahead of time we will work with them to get them into our game.  I don't think that will be an issue at all this year since we wont be involved in May 15th's on-sale ticket buying extravaganza.

Also, what time do you think the sessions would start (to have in mind while creating my wish list)?

We requested a time of 2pm to 12am Thrusday and Friday of Gen Con.

Just a small update.  We ran our Prelude game in Madison for this event and it went over really well.  We have some information posted on facebook about the prelude game and plan to do another one in July so we are 100% ready for Gen Con.

At this time we are still waiting for Gen Con to place our event and will let everyone know the second we are placed and tickets go on sale.

As a long time cWoD fan I'm very intrigued by this, but I'm having a hard time clearing my schedule both days for it. If I was, say, available for about half the time on Thursday and then all of it on Friday, would that be allowed?

EDIT: Well I answered my own question, I can't buy a ticket for the event if it overlaps events I'm going to. So I'll just grab one for the second day and maybe work something out for part time on Thursday if that's allowed.

Im not sure how the system handles this but if you can only make it to a few hours for one of the days or both but still want to play we are ok with this.  If the system doesn't let you have overlapping events feel free touch base with us and let us know what kinda restrictions you have on time.  We are working with players currently that cant make it all day for one or both days (or can only make it to one of the two days).  We can do generics tickets on the day of if we have space.

Also if you can only play in one of the two days or only for a short time but want to stop in on the day you can't play feel free.  I have one player who cant make it to day one but said she might swing by and meet the players and touch base with us on the first day.  If you can play for only a short time that day would just need the ticket cost in generics (Unfortunately we would need $10 worth of tickets even if you only played for an hour due to the ticket system Gen Con has) but if you just wanted to stop in and say hi and meet some of the other players, and check out the game, we have no problems with this :)

Awesome, glad to hear it. I got a ticket for Mage on Friday and my generics for Thursday, so hopefully that works out!

Quick update on the Events that took place in the Prelude. We will have a google doc created this week that will go into a bit more detail. This is just a quick run down of the public events that took place.

Dec 5th 2015:

Major Event: Terrell Perry, a mage and Leader of the Cult of Ecstasy in Madison, is murdered by an Unknown Hunter. There is an Avatar Storm over Madison this day.People have been going missing for the past few weeks through out the world who work for drug research testing groups.Over 80% of the rat population dies.

Dec 6th 2015:Vampires: Vampires meet and decide this murder is something that threatens the peace and the mages will likely counter attack. The Chairmen decide to investigate at the behest of Tori, the Baroness.

Hunter: Redman Thatcher leader of the Hunter School informs the Hunter school of this murder and launches an investigation into clearing the Hunters School.

Mages: The Mages that are part of the Rebelion meet and find out that this might be connected to Alexander (Leader of the Mages in Madison) as Terrell Perry was Investigating into Alexander. No hard proof can be found however. Elise leader of the Virtual Adepts in Madison is planning a Cyber attack on the Hunters.

Werewolves: A Black Spiral group is found to have moved to Madison and might be connected to the Sewage Plant. The Werewolves also learn that the rats who died are turning into Bane Spirits and namer magic was used.

Act 2: Dec 14th

Major: The Black Spiral Dancer Caern was found and connections to the Avatar Storm and the Death of Terrell are found. There is a portal to the Abyss in the Cearn,

Mages: Elise Webb attacks the school with a Cyber Attack. He is also able to convince the government to cut funding. The Cyber Attack is stopped but the Hunters could not prevent the loss of government funding.

Elise Webb is found to be the creator of a Nano Virus that killed all the rats in the city. Pest control you know...

Mages found a portal to a pocket realm in the Sewage Plant that might lead to a Black Spiral Cearn

Hunter: Zachariah the leader of the Demon Hunters (a rogue group of Hunters that are not part of the Peace) is found to be the murder of Terrell. Zachariah has motive, he was Imbued in Vietnam after Terrell turned a group of Werewolves on his platoon to protect a village they were ordered to destroy.

Vampires: Summoned the Wraith of Terrell. He told them that Zachariah killed him but he didn't know why. He was not aware of Zachariah's involvement in VietnamWorked with Werewolves to recover the body of Terrell.

Werewolves: Investigated into the rituals that are tied to the rates and the missing people that might be being shipped to the Sewage Plant. They investigated the Sewage Plant but cant find any thing in this world or the Umbra. The Crane Spirit that enhances the local Umbra to protect any spirit in the area from becoming a Bane Spirit. The Crane is being held in the Black Spiral Dancer Caern.

Act 3: Dec 21st

Major Event: Black Spiral Cearn is found.Zechariah is found to have been working with the Black Spirals to help him kill Terrell. The Black Spirals gave Zachariah the time and place to be and that he would be weakened. Black Spirals created an Avatar storm by sacrificing Humans and Animals it is not know how this is done.Elise Webb is the one who gave the Black Spirals the Ritual to create the Avatar Storm and the information on Terrell

Jay Dee Gathers 15 members of the supernatural community to assault the Black Spiral Caern.

Mages: Mages use rituals to enhance the Wraith Terrell. Half the Mages go to the Umbra to assist the Werewolves the other half assist the Vampires in assaulting the physical Sewer Plant.

Vampires: Vampires assault the Sewer Plant to stop another ritual to summon an Avatar Storm. They are assisted by the Hunters and Mages. Elise Webb is found and captured by Terrell and dragged into the Dark Umbra.

Hunter: Hunters assist the Vampires and Werewolves to assault the Black Spiral Caern.

They encounter RoidQuake, some kinda odd Skin Dancer and Walter Leader of the Madison Werewolves fights is killed by accident when the Shadow Lord Mariko Grey shoots through RoidQuake while he was grappling with Walter. The Crane Spirit is cleansed of its Worm Taint that had infected it after a battle with the Werewolves. They are able to close the portal to the Abyss but RoidQuake gets away.
